Marketing tasks to automate

Ten marketing tasks you do not have to keep doing by hand.

Researching a question, preparing a page, checking the results and remembering a review request all take attention. These are ten places where automation can help. Start with the task that is holding you back, then check the information, permissions and follow-up it needs.

Which bottleneck would you remove first?

Your priority might be getting useful explanations onto the website, finding out what customers search for or responding when someone asks a question. Define that problem before deciding to automate everything at once.

Time
Content and routine website work keep waiting while customer work takes priority.
Enquiry handling
Requests arrive through different routes and nobody is sure who is responding.
Search coverage
Your website describes the service but misses the questions people ask before buying.
AI visibility
You want to inspect whether your company appears for a defined set of questions.
Small recurring jobs
Reviews, titles and descriptions are easy to postpone until they become a backlog.
Measurement
Several reports are available, but they do not yet make the next action clear.

Connect four stages of the work

The potential benefits are practical: less repeated preparation, clearer answers on your website, a reliable route for enquiries and measurements you can review. They depend on the setup and on someone taking responsibility for the exceptions.

1. Gather the signals
Research customer questions, existing pages and competing results. Keep the source and period with the finding.
2. Build or improve the answer
Prepare useful content from your business knowledge. Check it and use the agreed publication route.
3. Help the visitor take the next step
Make the offer and contact route clear. Where configured, the website assistant can answer questions and record an enquiry.
4. Measure and follow up
Review completed work, Google performance, AI observations and genuine enquiries separately. Choose the next action from that evidence.

1. Find useful search questions

Keyword research starts with the customer’s decision. A cost question, a comparison, a service in a particular place and an urgent problem can require different answers. A large search-volume estimate is of little use if the question does not fit your offer.

By hand, you would collect phrases, examine results and compare them with your existing pages. Klusio’s search research helps organise those signals. Before creating content, check whether an established service page or article should be improved instead.

Useful input
Your services, working area, customer types and questions from actual conversations.
Keep control of
Business relevance and the focus page for a question. Avoid several pages competing to answer the same need.

2. Turn business knowledge into useful content

Writing involves more than generating paragraphs. Someone needs to select the topic, research it, use the company’s experience, check the facts, format the page and place useful links. The final text must help a reader make a decision or do something correctly.

Klusio connects those stages to its content workflow. A new article may be appropriate, or the better action may be updating an existing page. Publication follows your permissions and the capabilities of the website connection. The plan defines the improvement rhythm rather than a quota of new articles.

Useful input
Real projects, current conditions, product information, preferred wording and answers from your team.
Keep control of
Sensitive claims, specialist advice, prices and the approval mode. Check that an edit improves the existing answer.

3. Track selected questions in AI search

You can ask an AI assistant about your market yourself, but an isolated answer is difficult to compare over time. Record the exact question, platform, date, answer, named businesses and visible sources.

A configured AI measurement follows a defined set of questions. Use it to inspect where your company appears and what information the answers use. Results can vary between runs and users. They are observations from the tracked set, not a count of every recommendation made about your business.

Useful input
The buying questions, services, locations and competitors you want to follow.
Keep control of
Whether the questions represent your market. Inspect source evidence before treating an omission as a content problem.

4. Answer recurring visitor questions

A visitor may want to know whether you serve an area, provide a particular service or need photographs before quoting. A website assistant can answer from the business information supplied and help the visitor leave a request.

Configure it with accurate knowledge, a suitable enquiry route and a fallback when the answer is uncertain. Availability of the assistant is different from a promise that a person will respond immediately. The chatbot is included from Groei Pro; Groei Start offers it as an optional add-on.

Useful input
Services, opening hours, coverage, conditions, useful answers and the right contact details.
Keep control of
Exceptions, sensitive advice, commercial commitments and personal follow-up.

5. Get an enquiry to the right person

Capturing a request is only helpful if someone receives it and knows what to do. Choose a notification route and owner, then check what information is passed along.

Klusio can notify the configured recipient about recorded enquiries through supported channels. This is separate from automatically qualifying a prospect, preparing a quotation or conducting a sales conversation. Arrange reminders and handovers in the system your team actually uses.

Useful input
The responsible person, notification settings and any required handover to the team.
Keep control of
Response time, consent, qualification and the final agreement with the customer.

6. Monitor Google visibility with a meaningful comparison

Search Console records impressions and clicks, including data about queries and pages. A click is not necessarily a unique visitor, enquiry or sale. Check the selected period and the reporting delay before drawing a conclusion.

Klusio brings available measurements into the workflow. Compare similar periods and, where useful, the same season a year earlier. A year-on-year comparison provides context; it does not mathematically remove every seasonal effect or prove that Klusio caused a change.

Useful input
An authorised Search Console connection for the correct website property.
Keep control of
Interpretation alongside website changes, campaigns, seasonality and real enquiries.

7. Follow relevant competitors

Competitor research can show which questions other websites answer, which pages appear in results and where your own coverage differs. The competitor for one search question may be different from the company you most often meet in sales conversations.

Review the tracked questions and competitors rather than copying every page they publish. Research frequency and coverage depend on the plan and configuration. A competitor’s presence is a starting point for investigation, not proof that the same topic is worthwhile for you.

Useful input
The services, markets and genuinely relevant competing businesses.
Keep control of
Whether a proposed improvement adds an answer your customers actually need.

What happened at Hagman Timmer

The Hagman case records 18,355 Google impressions and 143 clicks from March to May 2026. Compared with the preceding period, impressions increased +364% and clicks +88%. Source: Google Search Console, reproduced in the case.

Dennis Hagman describes receiving more enquiries, but that customer experience is separate from the measured clicks. The figures concern this website and period. They are not an expected return for another business.

Without this taking us much extra time, the platform gives us a professional online presence and we are noticeably receiving more enquiries through the internet.

8. Organise genuine review invitations

A review request can be forgotten after a project. A configured invitation process helps make it a consistent task, with the correct recipient and review destination.

Agree the customer moment, permitted channel and information to use before enabling an invitation flow. It does not automatically know that every job has finished. Check the link and matching of a received review to its invitation. The customer’s honest experience remains their own.

Useful input
Correct customer details, the relevant project moment and the business’s review link.
Keep control of
Permission to contact the customer, timing and a personal response when needed.

9. Prepare useful titles and meta descriptions

Each page needs a title that accurately describes its purpose. A meta description can help explain the page to someone choosing a search result. Avoid interchangeable titles and promises that the page does not fulfil.

Klusio can prepare metadata for new content and suggest changes to existing pages. Compare the proposal with the current text and search intent. Google may choose a different title or snippet for a query; supplying metadata does not guarantee its exact display or a higher click rate.

Useful input
The page’s main question, actual content, offer and existing metadata.
Keep control of
Business accuracy, whether a change is worthwhile and approval before implementation.

10. Bring the reports together

A useful report separates what was done from what was measured afterwards. List confirmed publications and improvements, then show the available search, AI and enquiry measurements with their sources.

Klusio brings those views into the dashboard. Google data comes from the connected Search Console property, AI answers come from separate measurements and enquiry data depends on the relevant tracking or connection. An accessible dashboard does not mean every source updates in real time.

Useful input
Working connections and a consistent record of when changes went live.
Keep control of
The commercial judgement: which enquiries were suitable, what became a customer and what to do next.

See the underlying measurement

The original Prak dashboard below compares December 2025 with December 2024. It is an example of a dated year-on-year view, not the same period as Prak’s later 90-day case figures. Read the page and query details alongside the headline totals.

Use the dashboard to investigate Google impressions and clicks, newly appearing queries and the pages receiving attention. Review AI visibility in its own measurement view. Check actual requests separately before calling visibility growth a business result.

Keep six human responsibilities in place

The recurring preparation can be delegated. The facts and choices that make your business different still need you.

Business direction
Decide which customers and services you want to focus on.
Your offer
Choose what you deliver, at what price and under which conditions.
Customer conversations
Understand the actual situation and give a suitable explanation or quotation.
Real project experience
Supply genuine examples, photographs and details that an assistant cannot invent.
Personal enquiry follow-up
Respond to the person, qualify the request and agree the next step.
Quality and sensitive claims
Review important statements and tell Klusio when business information changes.

Example: reorganising a roofing company’s workflow

This is an illustrative before-and-after process, not a customer result or a saving calculation. The aim is to clarify who does the work and where a task is complete.

ContentA draft waits until someone has time.Text prepared from confirmed services and project knowledge.
PublicationUnclear who puts the text online.Approval followed by supported publication or a developer brief.

Compare the whole process

Doing the work yourself can be a good choice when you have the time and expertise. Compare responsibilities rather than assuming that every tool or agency provides the same service.

Choose the first task for your website

An initial assessment can look at search coverage, relevant competing pages, available AI observations, content gaps and the fit of a plan. The scope depends on the information available. It is a starting point for a decision, not a fixed number of opportunities or a next-day delivery promise.

Questions and answers

Which marketing tasks can I automate?

Recurring research, content preparation, supported publishing, selected AI measurements, visitor assistance, notifications and reporting. Review invitations and metadata work also benefit from a configured process. Each task needs suitable information and permissions.

Can I automate all of my marketing?

Keep business direction, your offer, real customer experience, sensitive content decisions and personal sales conversations with your team. Automation supports those responsibilities.

Is this useful for a small business?

It can be when recurring website work is being postponed and your business can provide accurate information. Start with the most useful task rather than enabling every module.

How is this different from CRM or email automation?

Klusio focuses on research, website work, visibility and connected enquiries. A CRM organises contact and sales stages; email platforms support campaigns and nurturing. They can serve different parts of the same process.

Which task should I automate first?

Choose the bottleneck with a clear input, owner and result. For one business that is useful website content; for another it is getting enquiries to the right person or understanding existing search performance.

Does this apply outside the trades?

Yes. Accountants, recruiters, property teams and other small businesses also have recurring customer questions and website work. The content and review requirements must fit the industry.
